Travel-day schedules can conflict with a provider’s staffed hours. Build the plan from current, direct information:

  • Check the airline’s current check-in instruction for your flight.
  • Obtain a live transfer estimate for the correct airport and departure date.
  • Confirm the provider’s staffed handover window and deposit method in writing.

Allow a buffer for packing, the condition walk-around, receipt checking and transport disruption. Start this work well before the final night; no citywide opening time or generic airport transfer duration is reliable enough to substitute for a current confirmation.

Shop hours versus contract return time

Read the hire sheet at pickup. Return time may be printed as a clock hour, calendar date, or vague “shop open.” If your flight forces an earlier physical return, ask staff to note an agreed exception on the contract or in WhatsApp with the shop’s business number — not a personal account that disappears after you fly.

Ask the provider to document one of the options it actually supports:

  1. Earlier staffed handover — record the inspection and deposit settlement while both sides are present.
  2. Authorised key drop — identify the exact address, parking position, key container, custody time and evidence the provider accepts.
  3. Documented extension — obtain the new return time, complete charge and receipt terms before accepting it.

Do not treat a casual verbal response as a contract amendment. Ask the business contact to repeat the agreed procedure in writing and include the booking or scooter identifier. A later employee should be able to match the message to the hire.

Work backward from the current travel requirements, not from an assumed journey time:

  • Read the airline or transport operator’s instruction for your specific booking.
  • Check the live route and disruption notices close to departure.
  • Add time for a complete return record and for an alternative transfer if the first vehicle is delayed.

If the schedule permits, arrange a normal staffed handover. If it does not, obtain the provider’s closed-return procedure before the final day. A flight deadline does not create permission to abandon a scooter or keys.

Photo and video evidence at dawn

Low light can hide condition details, so use the brightest safe location allowed by the provider and building. Make a continuous, steady record plus clear still photographs:

  1. Phone clock or watch in frame showing date and time.
  2. Full clockwise walk-around — same pattern as pickup in return day.
  3. The approved key handover, without exposing a key code or insecure hiding place.
  4. Shop shutter, sign and street number visible.
  5. Send the file to the shop chat before you enter the taxi; screenshot “delivered.”

Check that panels, mirrors, rims, fuel display and odometer are actually legible before leaving. Use a torch without creating glare and do not move the scooter to an unauthorised place only for better light. In rain, use an approved covered position if available and record the weather and wet surfaces.
