Record the car, gauge and odometer before handover, invite a joint condition check, and obtain the written status of any card authorisation or cash security. Return day can create several separate questions: whether the fuel and timing terms were met, what condition was recorded, whether a charge is authorised, and when the operator and payment issuer process security. Keep those questions separate and document each one; do not infer dishonesty or liability from delay alone.

Before you drive to the agency
Check the signed agreement for four things: the exact return time and place, the fuel policy, the late-return calculation, and how the deposit or card authorisation will be released. Do not infer the return hour or grace period from a daily or weekly rate. If plans change, obtain a written extension or revised hand-back instruction before the deadline.
Use the contracted deadline. Choose a route and time buffer for current conditions; do not treat an app estimate or assumed grace period as permission to arrive late.
Match the written fuel term. Follow the exact level or calculation in your agreement and keep the gauge photo and petrol-station receipt if you refuel.
Bring the contract, your pickup photos, and the key. Have your phone charged and your cloud backup synced before you arrive.
Follow the cleaning term. Remove rubbish and personal items, then check the written return standard. Ask for the clause and itemisation if a cleaning charge is proposed.
The return walk-around — before the agency inspects
Use the same angles as your pickup record. Where the return process allows, complete the condition record before key transfer and invite a joint inspection. If handover is unattended, follow the agreed process and record its time and location.
Park safely and check the light
Pull onto the forecourt, switch off the engine, and begin one slow, continuous video walk-around — all four sides, both bumpers, doors, glass, mirrors, wheels, and the roof if you can reach it safely. Say the date, time and registration plate aloud if your phone does not stamp the clip.
Invite staff to watch
Ask an agency employee to complete the condition check with you and record any agreed observation on the hand-back document. If a joint check is unavailable, record that fact and follow the written after-hours or unattended-return process.
Record the agreed return and hand over the key
Complete the permitted condition record, then hand over the key under the signed process. Ask for a receipt or message recording the time, location, recipient and vehicle status.
Let them inspect — on camera if needed
If staff raises a mark or condition issue, compare that exact area with the pickup record and note the observation on the hand-back document. Record any interior, tyre or accessory item that forms part of the proposed charge.
Deposit release and credit-card holds
Your booking may use a card pre-authorisation, a card charge, cash security or another method. Identify which one the agreement and payment record actually show; each has a different operator and issuer process.
Credit-card hold
If the payment record identifies a pre-authorisation, record its exact amount, currency, merchant name and reference. Ask what action the operator takes at hand-back and what processing window the acquirer or card issuer gives; do not assume a clean inspection makes the amount disappear at the counter.
Ask when the hold will be released. At pickup you should have noted this in writing. On return, confirm verbally and ask for a signed closure note if the agency provides one.
Check the payment status before you leave. If the operator says it has acted but the amount remains pending, save the written confirmation, staff name, time and reference, then ask the issuer for its exact processing window.
Never agree to a charge you do not understand. If the agency tries to convert the hold into a damage charge without a written breakdown, stop and follow the dispute guide.
Cash deposit
If the receipt identifies cash security, count any returned amount before leaving and compare it with the receipt. If recording is lawful and permitted, record the count without capturing bystanders unnecessarily. Obtain a written closure record showing the amount returned and any deduction. Insurance excess and damage disputes
If the applicable protection document includes an excess, record the exact amount, currency, covered event and exclusions. An insurance label alone does not establish what is owed after a particular incident; the car rental insurance guide explains the documents to request.
Record the actual outcome rather than forcing it into a market-wide pattern: whether the vehicle condition was agreed, whether a deduction or charge was proposed, which clause and incident facts were cited, and what security action was taken. Pickup and return records help assess those questions but do not decide them automatically.
Stay calm and polite. Do not pay anything under pressure, especially not in cash on the spot without a written breakdown. Ask for the claimed damage and repair figure in writing and itemised. Then show your dated pickup photos and return video of that exact panel.
